Good oral & written communication
Must be proficient with the PC - Microsoft Windows, Word, and Outlook, Good typing skills
QuickBooks knowledge helpful but not required
Must be able to properly handle a multi-line phone system
Courteous and cordial personality = for meeting/greeting visitors
Able to properly operate a fax machine and a copy machine
Able to follow written instructions = most of these tasks have written guidelines & instructions
Hard worker = this isn’t just answering & routing calls = there are many tasks to be done
when the phone isn’t ringing = being able to independently stay productive is critical
Reliable transportation



Job Responsibilities:
Answer and distribute all incoming phone calls
Prepare and distribute daily staffing report
Greet, announce, and route visitors
Receive incoming and send outgoing faxes
Drop-off, pickup, and distribute daily mail
Prepare and send express mail
Maintain employee badge system & issue badge reports
Assist accounting with entries into QuickBooks
Company meeting preparation
Stuff envelopes, file paperwork, and mail outgoing checks
Monitor A/R and conduct 1st Level collection calls
Manage & record incoming checks & customer deposits
Assist Services Division with entering data in database, setting up project folders, filing
completed projects, etc.
Assist Equipment Division with filing sales routers and entering data into databases
Maintain office supplies & office supply cabinet
Maintain kitchen & kitchen supplies
Coordinate facility maintenance – assign tasks daily to facility assistant
Clean the company cat’s water fountain and bowl periodically
Monitor postage meter & add postage
Maintain lobby and reception areas
Maintain fax, mail, and copy areas
Maintain conference rooms
Birthday & Anniversary announcement system
Maintain employee stamp system
Water plants
Maintain office phone lists
Address updating from mail
Assist Officers (2) as needed,
